Shortages or Shortfalls

As users are creating equipment lists, they make experience shortages of equipment as shown in red. Typically, a manager must be aware of all of the shortages, and possibly create subhires to cover for these shortages. It is helpful to be able to view all of the shortages for a given time period on one screen, and to do this you will need to access the shortages tab of the hire book.

The Shortages page displays all equipment that is short for a two week period. Unlike an availability calendar display, the shortages page allows for the easy comparison of equipment types without needing to toggle between many screens.

Shortages Filters:

·A Start Date Filter allows the user to set a new start date for the shortages page. The shortfall page will only display a period of two weeks.  
·Select Either Shortages Only to only view equipment with negative availability or All Equipment to display the availability of the entire inventory.  
·Multi-Site Users may change sites if access to other sites has been granted.  
·To narrow the list to a specific category, select from the drop down window and the set the filter checkbox.  
·Since composites are made of many pieces of equipment, if a component is not available, then the composite is not available. To see how the components affect the availability of your composites, tick the box labeled Show Composites and composites will be included in the availability display.  
·Tick the box labeled "Hide Consumables" to exclude your sales equipment.  

Display Options
Located across the top are icons that affect the display of the Shortages Page, as well as some drop down windows located below these icons.
The quarter day or home view is the default view when the shortages page is opened, and gives the quantities available for each type of equipment.  
This icon toggles between calculating availability of your equipment to include the statuses of Provisional, Confirmed and Active. When it is pressed, it will turn red , which means the calculation of availability will be based only on Confirmed and Active.  
The sorting Icon toggles the display between the User Defined Sorting Order and when pressed the display will switch to alphabetic sorting order.  
When the mouse hovers over a type and clicked, the display will change to that types Equipment or Hire List View:  

Switching to this view activates 2 additional icons to sort the view.  
   This view shows all the specific equipment lists that require that type of equipment. Equipment lists with a grey bar indicate that they are active lists, and therefore no adjustments can really be made. The Equipment List View is designed to assist you in deciding which equipment list present the greatest threat to equipment availability, and which lists it would be best to sub-hire or amend/change. A calculation is made to present the least likely candidate for subhiring of equipment in blue, whilst equipment lists in red have a shorter duration, and may be better candidate to subhire or amend/change. In the default view, the display of equipment lists is sorted by length of hire from shortest to longest.  
   This view sorts the equipment lists by quantity from lowest to highest. So the above display would be changed to:  

Note:It is the users responsibility to determine which lists require subhires or changes/amendments. When making these decisions, many factors affect these decisions, including experience, which a computer is not capable of factoring.  
 
·In the Hire List View, a user may double click an equipment list in the column labeled Eql No to open that equipment list.  
·In the Hire List View, a user may Right Click their mouse, and a subhire will be created for the selected type and quantity. In addition, the date out will be set to 5 minutes prior to the date out of the selected equipment list, and the date back will be set to be 5 minutes longer than the date back.
