There are times when you may want of check availability of equipment for a specific date range, or a customer may call to check the possible availability of your equipment. However, you may not wish to create a job since in all likelihood, they may not want to place an order. You may also want make a rough note of a quote on a few pieces of equipment for which a caller is requesting the price. The Scrapbook is the easiest tool to use for these types of function.
If a Job is likely to happen, or is a reasonable size, you should enter it as a Job in the Job Book; otherwise, you will have to re-enter all the details. Information entered in the Scrap Book cannot be transferred to the Job Book.
Open the Scrapbook and Press the
Add New Button.
Enter your clients name, and give the note a title. Then you will need to enter the Starting Date, and you may either set the number of days or you may set an ending date. If you change dates, you will receive the message:
This simply means that any data that has been entered in the notes field may not match the dates selected in dates field. In other words, if you check availability of equipment from May 1 to May 15, and then change the dates to June 1 to June 15, the equipment already in the notes field will reflect the May dates, not the June dates. This could be confusing to other users, and changes in dates should be noted.
Select the Price Group you wish to use to calculate your pricing. Multi-site users: If you have been given access to other sites, you may check availability of equipment of other sites.
Once you have entered your information, place your cursor in the large Notes area and double click your mouse. This will open the popstock window, which will allow you to select equipment.
NOTE: Equipment selected in the scrapbook is not reserved and has no effect on the availability of other equipment.
