The Crew Planner is divided into 2 sections. The top half of the screen displays all of the requests for crew positions that have been created in the Job Book. The bottom half of the screen displays a grid of people that have been selected as Available as Crew from the address book. The user will select a crew position from the top half of the screen and allocate that request to a specific person in the lower grid.



You may view the requests made for a specific crew type by using the Crew Type filter, which will open the smart search window. Select your crew type and press the checkbox for 1 of 3 choices:

This selection will display ALL crew requests for the specified date period.

This selection will show ONLY the crew requests for an Audio Engineer for the specified date period.

This selection will show ALL requests EXCEPT the Audio Engineer Day for the specified period.
The Upper Request Grid:
Requests for all jobs with a status of Provisional or higher will appear in this grid. The text will display the status of the job by using green text for jobs with a provisional status. Confirmed jobs will appear with blue text and Active Jobs will appear with red text. The sorting order of the request made be changed by clicking on the header of either the Alloc, Date Out or Job Reference columns. A notes window displays any notes that have been made, and notes may be edited or added from this window. If the request has been allocated, a list of the people or person will appear in the Alloc window.

Many times you may need to locate a person that has been allocated to a specific request. This is easily done by selecting the person's name in the Alloc window and pressing the "Find in Sheet
". When pressed, this will locate that specific allocation.

The "View Details
" button allows you to view the personnel information for the selected person in the Alloc window. These details include address, phone number and conflicts during the specified period.

Once one or more people have been allocated to a request, you may press the Select box next to their name and press the "Email Selected"
button. This opens the e-mail form with the selected people's e-mail address (from the address book), which will allow you to e-mail the people and inform them of your decision to allocate them to this request.

The Lower Request Grid:
People that have been selected as Available as Crew in the Address Book appear in the lower grid to be allocated to the requests in the upper grid. There are 4 sub rows of information that represent 1 person and the separation between people is seen in the dates grid.

A search window and a special conditions filter are provided to quickly locate a person for allocation.

The Special conditions filters are configured in the Address Book on the Special Tab. You have a choice of filtering by either 1 of the selected special filter or by both filters. HireTrack will display how many people match the filter versus the total number of people selected as crew in the Search button. To search for a specific person, click on the Search button:

You may search by forename (first name), Nickname (if used), Surname (Last Name) or by telephone number. Enter your values and press the button. To search for more names, press the Next Button.
